Kaye Putnam: Welcome back to another episode of Get Paid For Your Pad. I'm Kaye Putnam, Head of Marketing at Freewyld and Freewyld Foundry. I'm joined today by Eric Moeller, CEO of both companies.
Eric Moeller: Thanks, Kaye. Today we're diving into a topic that may not sound exciting at first, operational excellence. But as I see it, it's one of the most critical foundations for any successful STR business.
Kaye: Let's start with the big picture. How do you define operational excellence?
Eric: I think of it like going to the gym. I don't love doing it, but I love the outcome. I want a short-term rental business that runs smoothly, solves problems before they become visible, and delights guests consistently. That requires discipline, systems, and a constant focus on improvement.
Kaye: When it's done well, it becomes invisible. You don't get constant validation because things just work. But those five-star reviews and strong margins? That's where the payoff lives.
Eric: Exactly. At Freewyld, we break operational excellence into two main parts: property operations and team operations. On the property side, we use tools like Breezeway to keep our cleaning and maintenance teams aligned. On the team side, we use ClickUp and a living playbook to ensure everyone knows what to do and when.
Kaye: That kind of structure allows you to scale without relying on memory or reacting in the moment. It creates a machine that can grow.
Eric: Yes. And the magic happens when problems get assigned to the right person, at the right time, with the right tools. We also use ChatGPT to speed up SOP creation. I can speak a process into a recorder, drop the transcript into ChatGPT, and have a system doc ready within minutes.
Kaye: That's such a great hack. And I love your quote: "If you do something more than once, it needs a system." That mindset helps eliminate single points of failure.
Eric: And that creates freedom. I want our properties to be perfect for guests, from the music to the scent when they walk in. I want the team to handle the details so I can focus on vision and strategy. Operational excellence is what makes that possible.
Kaye: For those listening, if you're operating based on memory or dealing with constant surprises, that's your cue to start systematizing. Build your playbook, document your workflows, and bring in team members who thrive in structure.
Eric: Start with the systems that affect guest experience the most. Then build systems around how your team works together. Add scorecards, meeting rhythms, and clear ownership. That's where momentum begins.
Kaye: What books or resources do you recommend for operators who want to get better at this?
Eric: For team structure, start with Traction or Rocket Fuel. If you're doing over a million in revenue, move on to Scaling Up. And everyone should read Excellence Wins by Horst Schulze, co-founder of the Ritz-Carlton. He nails the mindset of service and system building.
Kaye: And community matters, too. In our Freewyld Mastermind, operators are sharing tech stacks, systems, and templates that accelerate implementation. Like the member who updated five listings after our Airbnb optimization workshop and saw immediate bookings spike.
Eric: There are always blind spots. Collaborating with other operators helps you close those gaps faster than working alone.
Kaye: If you want help with systems, operations, or pricing, visit freewyldfoundry.com. You can apply for a free pricing audit or join the mastermind.
Eric: Thanks for tuning in. Next episode, we're diving into one of my favorite topics, unreasonable hospitality. But first, get your ops dialed in. That's where scale begins.
Kaye: See you next week
